The World’s 50 Best Restaurants awards, now in their 19th year, is recognised around the world as the most credible indicator of the best places to eat on Earth. It stimulates fervent debate and sometimes controversy, but the excitement it generates amongst those who aspire to make the list, and the massive interest it brings to the restaurant industry in general, has seen it grow into three eagerly anticipated, internationally influential events attended by at least 45 out of the 50 listed Chefs. The series of events are sponsored by some of the most recognisable brands in the world.
Since the list was created in 2000, we’ve hosted event programmes across the globe, to name a few: Thailand, Australia, Spain, Singapore, France, Colombia, Peru and America.
Position
Location: Hybrid (2 days per week at our Crawley office)
William Reed is seeking a pro-active highly organised and methodical administrator with strong experience in an office environment. The successful candidate will not only be responsible for the general administration for the 50 Best team but also supporting the Group Operations Manager with; invoicing, booking staff travel and accommodation, managing team calendars, drafting timelines and basic templates for the wider team to use.
The successful candidate will report to the Group Operations Manager. You will be extremely organised with excellent attention to detail. Be a sound multi-tasker and be able to work well under pressure. Have strong written and verbal communication skills.
Requirements
Key Responsibilities:
- Raise purchase orders, log invoices, and set up suppliers using the in-house finance system
- Using templates already created to set up documents such as: critical paths, annual calendars, run of events, WIP sheets, schedules and detailed operation manuals
- Set up event folders and databases which advised
- Stationary orders
- Organise and manage event cupboards including making sure event kit boxes are socked
- Manage the 50 Best inbox. Making sure all emails in this inbox are dealt with daily
- Set up and attend internal meetings. Take detailed minutes and actions from meetings
- Keep annual calendar updated
- Put event schedules into outlook calendars for internal team members
- Coordinate the voting process across the 50 Best portfolio
- Communicate with and organise the voting academy
- Coordinate travel and accommodation for internal staff and key stakeholders
- Invite and chase guests to attend events
- Send out tickets
- Adhoc administration duties for the Managing Director
- Fulfilment of any necessary duties delegated by the Managing Director and Group Operations Manager
- Desire for successful candidate to be willing to travel. There is the opportunity to travel to the event
Required Skills and Experience:
- Accuracy
- Excellent grammar and spelling
- Ability to manage multiple tasks at once
- Initiative, organised, methodical
- Experience of working in high pressure environment
- Effective verbal and written communication
- Excellent customer care
- Be a natural team player
- High level of IT competency – must have strong computer skills including Excel, Word and PowerPoint
- Ability to ensure efficient and sensitive handling of confidential information
- General secretarial/PA skills also a benefit
