Position

Position: FTC 1-year, Full time (35hr per week Crawley)

Location: Crawley Office / Hybrid

The Accounts Assistant will be managing the Purchase Ledger efficiently and accurately, ensuring smooth financial processes in a high-volume, multi-currency environment. Using excellent communication and organisational skills the Accounts Assistant will support internal stakeholders, external clients, and the wider finance team under the guidance of the AP & Payroll Manager.

What you’ll be doing:

Purchase Ledger:

  • Processing of PO & non-PO invoices via V1 system for internal approval.
  • Raise and resolve queries internally and externally, to include resolving ad hoc queries on the invoice workflow system.
  • Setting up new supplier requests on the workflow system.
  • Follow up internal approvals on the invoice workflow system.
  • Reconciling supplier accounts for all companies.
  • Managing finance query inbox and contacting suppliers to assist in the resolution of outstanding queries.

Payments:

  • Preparation of weekly BACS payment runs.
  • Preparation of weekly foreign payment runs.
  • Responsible for other ad hoc payments.

Expenses:

  • Checking and uploading staff expenses for the group via the online system, ‘Expensify’.
  • Ensuring company expense policies are adhered to.
  • To be a ‘super-user’ for Expensify, providing training where necessary and setting up new employees.

Other:

  • Maintain a high level of internal and external customer service.
  • Responsible for updating and managing the William Reed coding and authorisation policy.
  • Other ad hoc administration and finance duties as required to support the finance team.
  • Preparing and maintaining Purchase Ledger manuals.

Requirements

What you’ll need:

  • Previous experience in a high volume, multi-currency environment for example in a similar publishing/events company.
  • Experience working in a small-mid sized business is ideal but not essential
  • Proficient in accounting software, preferably SUN.
  • Excellent communication skills essential
  • Experience of Invoice workflow systems, Expensify, online expenses management systems, desirable.
  • Ability to prioritise and organisational skills essential.
